Job Purpose
- Provide administrative assistance for education academic programs and internships and provide cross functional support to the Qatarization team and Outreach Program activities.
Reporting and Relationships - I
- Reports to Qatarization Specialist.
- Direct reports: None.
Internal
- Regular contact with National employees and sponsored scholarship students.
- Regular contact with Human Resources, Learning & Development, Public Relations, Recruitment and other departments as required.
External
- Periodic contact with academic institutions, government bodies, students and 3rd party service providers.

Key Job Accountabilities - I
- Assist in administering and supporting the Company’s Scholarship Program administration to support the realization of the Company’s Qatarization KPI. Support activities & processes related to the scholarship/ sponsorship program recruitment such as medical & CID clearance as well as preparing agreements and related documentations.
- Support activities related to the Company’s Outreach program plan as and when needed to promote the scholarship & internship program.
- Establish Company’s internship program including the coordination between the departments, interns and third parties (University). In addition, monitor the implementation of individual Internship Objective plans (IOP) with the line and processing the relevant payments/certificates.
- Establish the internal mandatory internship program for Qatargas scholars in coordination with QatarEnergy, Qatargas scholar, and line department to ensure smooth business continuity.
- Assist with the administration and maintenance of the scholarships and internships database for reporting accuracy.
Key Job Accountabilities - II
- Prepare comprehensive reports relating to the scholarship data including headcount, academic progress, and disciplinary actions to management & line departments.
- Support in processing documents and correspondences related to the scholarship program and internship program and other related ad-hoc activities.
- Contribute to preparing the annual budget estimates and forecasts as well as the monthly accruals for scholarship.
- Support in processing the memos of the scholarship expenditures such as ticket charges, QatarEnergy admin charges, visa reimbursements, mobilization & demobilization allowances etc.
- Provide support to Qatarization members and L&D team. Participate in L&D events by handling the relevant logistics and any other tasks.

Part B: Person Specification - Minimum Requirement
Qualifications
- Completion of Secondary school formal education (12 years) followed by a 2 year Diploma in Business Administration or Human Resources.
Knowledge and/or Experience - I
- 5 years’ experience in the field of human resources including 2 years spent in a learning and development environment.
Knowledge and/or Experience - II
Technical and Business Skills - I
- Excellent written and spoken English skills.
- Skilled facilitator with well-developed presentation, negotiation, and counselling skills.
- Ability to communicate effectively and represent the Company’s strategic direction pertaining to academics at all levels with impact and influence.
